Challenges

Untrained staff who were using MS Teams were creating multiple sites, not realising the correlation with SharePoint. There was also no understanding of what additional applications came as part of the 365 offering. To compound this, users were using other external products such as WhatsApp to share company information and communications. This meant there was no standardised toolset in place. This Shadow IT raised a real concern over auditability and reach of company information. It also meant that users were and being siloed without having clear sight of current policies or plans for example. Teams was turning into a sprawl with multiple channels, no clear governance or security access, and no direction as to which tool was right for which job.

Due to client budget considerations, we had to develop a cost effective solution which would support the business to achieve its project outcomes but also ensure all staff were upskilled.

Solutions

The solution included a structured learning strategy, learning styles vary greatly between roles and there was also an offshore community to consider. We devised training around a range of techniques – including scenario based face to face and online video based learning, coaching, classroom and technical support. These were put in place for Super Users and some end users.

We created a network of local experts, we accelerated learning by developing SharePoint and Teams experts across their communities who could in turn provide additional training and support to end users. There were unexpected decisions which affected tools and timing. Our resilient team made use of what they could – in one instance creating video based learning for the offshore community in less than 24 hours to match the speed of crew changes.

As is our standard, we provided training solutions across the whole project life cycle:

• Tailored training guides to ensure accessibility and address differing learning styles.

Outcomes

We completed the work within the proposed timescale and budget. A key objective was for the marketing team to have enough knowledge to educate others within the Sparrows organisation. As an outcome of this engagement the adoption of SharePoint and MS Teams has increased significantly in recent months and the marketing team overcame their concerns about rolling it out. The team also had easy to access tools and collateral to support key users in learning conversations.

The biggest shift was the deployment of MS Teams to support communications with the offshore workforce. These workers would not sit in front of a computer, so emails were ineffective. The mobile app helped keep them connected to each other and to the office. It has helped engagement of the workforce and the dissemination of important information to them.

Through our engagement, we achieved the following organisational step changes:

• Increased collaboration and idea sharing between small and large groups of people who are rarely in a room together has been transformational.
• Shift handovers are now optimised so offshore teams can come online and catch up to speed fast with events, identify open actions and connect with individuals to transfer these actions over which has increased decision making and response and reduced errors.

We achieved an increase in competency across the group which delivered on their initial investment in the M365 system and enabled them to develop efficiencies across the group. Our training beat industry benchmarks – 93% of users said it added value to the business.

A key objective was for the marketing team to have enough knowledge to educate others within the Sparrows organisation. As an outcome of this engagement the adoption of M355 increased significantly in recent months and the marketing team very overcame their concerns about rolling this out.
