Challenges

ASB faced several challenges with document management and communication, which included:

  • Difficulties in accessing files, as members often lost emails
    and couldn’t share information easily.
  • Poor file storage and sharing, with members exceeding the
    available storage space and facing additional costs.
  • Inadequate email system, leading to the loss of important
    messages and the lack of professionalism conveyed.
  • Lack of remote working capabilities, which affected the
    organisation’s ability to organise virtual meetings during the
    coronavirus pandemic and slowed down ongoing projects.

To address these issues, the ASB sought to adopt a new, unified solution that would allow for seamless document management and communication, provide more storage space, and enable remote working capabilities.

Solutions

Appetite collaborated with ASB’s committee members to understand their document management and communication challenges. We identified Microsoft 365 as the obvious solution and migrated the data and documents to SharePoint, providing secure and intuitive access. OneDrive was also set up for secure document sharing, eliminating the need for extra emailing. Training on Outlook allowed for more efficient and organised communication, and Microsoft Teams enabled remote project management and virtual meetings.

Outcomes

With the new solutions, ASB committee members can easily manage, share, and store documents, resulting in more efficient work. Communication is now organised, with email management and personal signatures conveying a professional image. Remote project
management is also now possible, allowing for virtual meetings and easier sharing of documents.
